Buying software
Before a software free trial ends: a cancellation worksheet
Check trial expiry, conversion terms, access and cancellation evidence before a software trial becomes a paid subscription.
Before starting a software free trial, record its end time, the plan and price that follow it, whether payment starts automatically, and the exact way to stop renewal. Then choose a decision time early enough to test the product and complete the vendor's cancellation steps. A trial is useful only if it can answer your purchase question before the paid commitment begins.
Trial policies differ by product, sign-up route and account. A free tier, a time-limited trial, a trial that requires a card and a sales-assisted proof of concept can have different exits. The worksheet below makes those differences visible without assuming that every trial converts or that cancelling one account closes another.
Decide what the trial must prove
Write down two or three tasks that would justify buying the software. For example: import a representative file, let the intended role complete one workflow, and confirm an essential export. Assign a person and a date to each test. If a trial ends before the team can test a required integration, that is an unresolved purchase risk, not evidence that the integration works.
The software comparison worksheet provides a consistent requirement set across vendors. Use it to prevent a trial of one plan from being compared with a quote for a different feature scope. The total cost worksheet can hold migration and training estimates that a short trial will not establish.
Find the exact conversion terms
Before submitting payment details, save the signup offer and its applicable terms. Record the trial end with its time zone, the paid plan and quantity, the first charge and billing period, and whether the trial switches automatically. Also note whether cancellation ends access immediately or at the trial deadline, and whether you need an owner or billing administrator to do it.
The US Federal Trade Commission's consumer guidance, accessed 29 September 2026 UTC, advises readers to find the offer's length and cancellation method, set a reminder and retain cancellation records. Its article is general consumer guidance, not the contract for a particular business software account.
Atlassian's cloud purchasing documentation, accessed 29 September 2026 UTC, says a Free-to-Standard trial lasts 14 days and a Premium trial 30 days, then describes a move to monthly subscription unless deactivated. Its plan management documentation also explains what happens without payment details. These are dated examples of vendor-specific behavior, not trial lengths to assume elsewhere.
Build a decision clock
Use three separate dates: test completion, purchase decision and cancellation deadline. Place the decision before the cancellation deadline, leaving enough time for the authorized account holder to act. If the vendor describes a notice period, use that period instead of assuming cancellation on the final minute will prevent the charge.
| Item | Write down | Evidence |
|---|---|---|
| Trial scope | Plan, feature limits, seats and usage caps | Signup offer and account view |
| Expiry | Exact date, time and time zone | Confirmation email or billing page |
| First paid term | Price, currency, tax status, interval and commitment | Applicable order terms |
| Decision owner | Who can approve purchase or cancel | Internal assignment and account role |
| Exit path | Where to cancel and its effect on access | Vendor help and account confirmation |
If no exact expiry time appears, ask the vendor or support rather than silently assuming midnight in your own time zone. If the paid price is missing, treat it as unresolved. A monthly-looking rate does not establish a monthly commitment, and a trial offer may have a different renewal price.
Run a fictional seven-day trial
Suppose a fictional team starts a seven-day trial on 1 October at 10:00 UTC. Its signup screen says the first paid period begins on 8 October at 10:00 UTC and will cost USD 30 per month for one workspace unless cancelled beforehand. Assume a billing administrator must confirm cancellation in the account. These details are invented teaching inputs, not a live vendor offer.
The team schedules the import test for 3 October, the workflow test for 5 October and its purchase decision for 6 October at 12:00 UTC. If it declines, the administrator completes cancellation that day and saves the confirmation. The gap between decision and conversion gives the team time to resolve an access problem. The worksheet records the first paid term as USD 30, while tax and later renewal changes remain unresolved.
If the product requires two weeks to test, the correct conclusion is that this fictional seven-day trial cannot answer the full purchase question on its own. The team can seek a longer evaluation or a written commitment for the remaining test. It should not manufacture confidence from an incomplete trial.
Close the trial with one recorded outcome
Use a short closeout note while the tests and offer are still in view. For each required task, record passed, failed or not tested, with the observation and person responsible. A task that was not tested is not a pass. Keep a link to any sample export or test result that the team is permitted to retain; avoid putting customer data in a shared evaluation note.
If the product passes and the team wants to buy, confirm the paid plan, billable quantity and first charge in the final order summary. Recheck whether the trial's feature set matches the selected paid plan. Assign the account owner who will monitor renewal. A decision to continue is not itself evidence that procurement approved a longer commitment or that the next invoice will match the signup headline.
If the product fails, record which requirement failed and whether there is a workaround the team would actually accept. Then use the vendor's cancellation path and verify the resulting account status. If evaluation remains incomplete, state which test is missing and ask for a documented extension or a separate evaluation path. Do not let silence at the deadline substitute for a purchase decision.
The closeout is complete when the responsible person can answer four questions without revisiting the signup flow: what was tested, whether a paid term will begin, what amount and commitment were approved if buying, and what confirmation proves the exit if leaving. Keep the note with the trial terms so a later invoice can be checked against the decision actually made.
Keep evidence of the exit
After cancellation, check the account's status and next billing date, save the confirmation, and review the following statement for unexpected charges. The FTC recommends keeping a copy of a cancellation request and related communications. Cancelling access and receiving a refund are different outcomes; do not expect the latter unless the terms or vendor confirm it.
Account routes matter. OpenAI's cancellation help, accessed 29 September 2026 UTC, directs customers to cancel through the platform where they purchased and says uninstalling the app does not cancel the subscription. This is an example of purchase-channel dependence, not a claim about other vendors. If your trial came through an app store, reseller or sales contract, find that route's instructions.
VerifiedPricing's dated pricing records can help identify a checked public price at a stated time. They cannot establish the private conversion terms accepted by your workspace or prove cancellation. Save your own order and account evidence.
Free trial cancellation questions
Does a free trial cancel automatically?
Do not assume so. Some trial offers move to a paid subscription unless you take action; others fall back to a free plan or deactivate. Check the specific signup terms and account status.
When should I cancel a trial?
Use the vendor's stated deadline and notice rule, with time for the account holder to complete and confirm the process. Decide after the planned tests, before that deadline.
Does deleting an app cancel the trial?
Uninstalling software is generally a different action from cancelling its subscription. Follow the billing route shown for the account and retain a confirmation that renewal stopped.
